Good payroll software should save you time so you can get more done in your day. Ideally, it should also be as simple to use as possible. Since 2013, San Francisco company Zenefits has aimed to do just that with its payroll solution. Now serving over ten thousand companies, Zenefits gains from the vast number of integrations it offers that not only streamline the payroll experience but can enhance just about every aspect of a business. For example, the comprehensive Zenefits mobile app allows employees to access every bit of payroll information they need, clock in and out, request holiday time, and so on. It also serves as an all-round work hub to keep everyone connected. The payroll software is also very reasonably priced, but it’s only available as a $6-per-month-per-employee add-on to any other Zenefits subscription. You can test it out first though: Zenefits provides a 14-day demo version so you can take a look at everything it has to offer.
Once you have Zenefits set up, the first thing you’ll notice on your dashboard is the handy tasks section giving you reminders of what needs to be done. Further down the page you’ll see the Zenefits apps all in one place, including any integrations you’ve installed. The payroll page gives you a calendar and timeline for any upcoming events as well as information about past pay runs. Zenefits actually gives you an unlimited number of pay runs regardless of which subscription you’re using. You can easily edit your staff information from the people page, adding and removing contributions, reimbursements, and garnishments. Unlike many other payroll packages, Zenefits can onboard international workers from a large selection of countries, mostly from Europe but also including Brazil, Hong Kong, Mexico, and Singapore.
Pay runs are easy to complete, and you can create one-off pay runs when needed. Before you even begin to process payroll, Zenefits will give you a reminder if the timesheets haven’t been completed beforehand. Similarly, before you finish processing you’re given a chance to check and edit any mistakes you may have made. Zenefits will also alert you if it finds any anomalies, like forgetting to input data into a field.
Reporting is another process that has been streamlined by Zenefits. You’re given a list of potential reports to choose from; each one is customizable and can be downloaded in a variety of different file formats.
Zenefits allows you to pay your employees or contractors by direct deposit or paper check. All digital payments are totally paperless, and they can be accessed and downloaded via the app. Workers are also able to access their payments long after they leave the company.
You can choose between semi-monthly, biweekly, weekly, and monthly payroll intervals, and these are changeable if needed. Garnishments are well supported too, so it’s easy to automatically process payments like child support, health insurance, loan repayments, and retirement funds.
Zenefits has a feature-filled app geared towards making payroll that much easier. For employees, the app functions as a complete work portal where workers can perform just about any HR-related task. For example, the Zenefits app works as a time management tool, allowing your workers to easily clock in and out. Employees can also schedule time off and review paystubs (with an extra level of authentication).
There is still a whole host of other features beneficial to employees. It’s easy to connect with everyone else in the business, and it’s possible to use the app as a company directory of sorts. There’s much more to discover from the Zenefits app, but you can test it yourself by downloading it to Android or iOS and checking out the demo version.
You’re spoiled by the number of integrations offered by Zenefits. The accounting integrations are particularly useful to payroll users, as Zenefits supports both QuickBooks and Xero. You’re likely to also want to take advantage of the financial integrations like Expensify for keeping track of expense reports and travel costs. Speaking of travel, there are some great options to choose from there too: Zenefits works with NexTravel, Lyft, and Uber for travel arrangements, and Hotel Engine if you need to regularly book business hotels.
There is a large number of other integrations. You can install productivity software like Asana and Office 365, allowing you and your team to communicate and share files and folders. There are also employee management apps like Gifted and Bonusly which are great for rewards. Finally, there are performance management integrations like BetterWorks and Appraisd which are useful for team feedback and reviews.
Zenefits pricing plans are tiered, and you can choose between paying either monthly or annually with a discount between 25 and 29 percent available when paying by the year. The payroll service is sold as an add-on to any Zenefits subscription, costing an extra $6 per employee every month.
The cheapest way to get Zenefits with payroll is by subscribing annually to the Essentials plan, which comes at $8 per employee monthly before paying for the extra payroll module. Essentials gives you access to HR services including onboarding, time and scheduling services, integrations, and the mobile apps. If you want more for your business, then you can upgrade to the Growth subscription that also provides compensation and performance management at $14 every month for each employee. Finally, there’s the more expensive Zen package which includes everything you’ll find in the other packages plus Zenefits’ well-being program, which is designed to increase your team’s productivity and reduce stress.
Zenefits accepts payments through all major credit and debit cards as well as bank transfers via ACH. You can test out a demo version of Zenefits for 14 days to give you a good idea of what it would do for your business.
When you’re having issues with payroll, it’s reassuring to know there’s an expert ready to guide you through the process. Zenefits’ support team is available through live chat or over the phone weekdays from 5 a.m. to 6 p.m., PST. Alternatively, you can email and expect an answer within one business day. It’s also possible to contact Zenefits through Facebook and Twitter, and they’ll arrange for a representative to get in touch with you.
The Zenefits website has lots of resources to help you every step of the way. The help center has separate sections for administrators and employees, and the articles are very useful. We were particularly impressed by the setup guide that walks you through the installation process expertly. If you don’t find what you need in the help center, then there’s a large FAQ section to search through.
Taking it one step further, there’s the Zenefits training portal where you can get learn more about the software, find video tutorials, and get certification by passing exams. Finally, there’s ClubZen where you can connect with other Zenefits users – a great way to get further support.
Overall, Zenefits is a very strong contender for the payroll software throne. In fact, there are only a few very minor issues we have with it at all. One small issue is that payroll is only a paid extra on top of your Zenefits subscription, but the overall price is competitive regardless, so this is not too discouraging. More important are the plenty of positives we found with Zenefits. The variety of integrations is really impressive, covering just about anything you can think of to make the management of your business simple. It’s also a very easy program to use, thanks to its well-designed interface that puts everything in a logical place. So, if you need a complete payroll solution regardless of what size of business you run, Zenefits will more than suit your needs.
