Features

To get useful financial insights from Xero, businesses first need to complete the initial account setup. Users can do this independently with Xero’s straightforward setup guides, including video tutorials that walk them through the process.

Alternatively, they can use Xero Coach, a free service that provides personalized onboarding during the first 90 days and helps new users configure their business in Xero.

Once the company profile, bank accounts, branding, and key preferences are in place, the customizable dashboard displays movable widgets for different aspects of business accounting. It includes checking and savings accounts, bills to pay, expenses awaiting review, and profit and loss (P&L) data. Some widgets also include charts, making key figures easier to understand at a glance.

The main navigation menu provides straightforward access to Xero’s core tools, including sales, purchases, reporting, accounting, tax, contacts, and projects. Handy shortcuts also speed up everyday tasks, such as creating invoices, bills, quotes, and purchase orders.

Xero also includes a document storage area where users can upload files or email them directly to the platform, plus an AI assistant called Just Ask Xero (JAX) that can help with tasks like invoices, quotes, and business questions.

While most of the interface feels modern and polished, a few secondary windows have a slightly different visual style, making them feel disconnected from the main dashboard.

Smart invoicing and quotes

The sales section gives business managers a clear view of incoming revenue, overdue invoices, billable expenses, and quote statuses.

It allows for easy preparation and sending of professional invoices, converting accepted quotes into invoices with a click. With integrated ‘Pay Now’ buttons from partners like Stripe, clients can pay instantly.

Real-time activity tracking notifies you when a client opens an invoice, simplifying follow-up on overdue payments. Xero enables automated reminders with customizable timing, such as seven, 14, or 21 days past due.

The quoting workflow is simple. Users can create custom quotes from design templates that auto-fill saved contact info, inventory items, and dynamic price lists.

Xero ensures accuracy by automatically calculating local sales tax and supports multi-currency transactions with real-time exchange rates.

Inventory and customer management

Depending on the subscription, Xero offers advanced inventory management for products and services designed to replace messy spreadsheets with a unified system for tracking stock and managing finances.

It allows users to track stock levels in real time, automate billing, and analyze sales data without juggling multiple tools. The platform supports up to 4,000 items and integrates with popular ecommerce and point-of-sale apps like Shopify and Amazon.

By connecting inventory directly with accounting, Xero empowers retailers to optimize stock levels, improve cash flow, and reduce administrative tasks.

It’s also easy to manage customer information. Xero offers a streamlined way to organize and track customer and supplier relationships in one secure, cloud-based hub.

By centralizing contact details, transaction histories, and notes, the platform helps users quickly access financial insights and spot payment trends by customer.

Purchases, bills, and expenses management

Xero’s purchases module serves as a highly automated accounts payable hub that streamlines everything from expense management to supplier payments.

The standout feature is its integrated Online Bill Payments, which allows you to pay bills directly inside Xero via ACH or check using a bank account or credit card.

Powered by the software’s native Hubdoc integration, users can upload or email vendor invoices directly to the system. Xero’s AI auto-reads and extracts document data to build draft bills without manual entry, while an internal duplicate-detection engine blocks accidental double payments.

The platform also features an upgraded workflow that allows customizable purchase orders to be converted into pay-ready bills with a single click, eliminating manual data entry.

Moreover, Xero’s expense tracker simplifies business finances by letting users snap receipts, track mileage, and manage team member reimbursements directly from a mobile app.

Automated bank reconciliation and accounting administration

One of Xero's standout features is its ability to keep your books accurate with minimal effort.

Through secure API connections with global financial institutions, your transactions sync with the platform daily.

Xero’s smart reconciliation engine adapts to your workflows, automatically matching bank statement lines against invoices, bills, and past classifications. For businesses with a high volume of bank transactions, cash coding can also speed up reconciliation by letting users code similar transactions in bulk.

Xero’s advanced accounting tools include customizable chart-of-accounts templates and smart bank rules, which automate categorization with a single click. Moreover, Xero supports fixed asset management, helping businesses record assets, track depreciation, and keep asset values reflected in their accounts.

For mid-year adjustments, the platform offers tools like Find and recode, allowing bulk edits of miscategorized ledger entries.

Data integrity is protected by a native Assurance dashboard that scans for transaction anomalies. At the same time, an unalterable history and notes log ensures a strict audit trail, keeping the books transparent and accountant-ready.

Payroll and tax returns

Xero doesn’t include native full-service payroll for U.S. users, requiring an integration with Gusto. While Gusto is a reliable payroll solution, this extra dependency may be inconvenient for businesses looking for an all-in-one accounting and payroll platform.

The partnership eliminates manual data-entry errors and ensures your books are kept aligned. Through this integration:

  • Federal, state, and local payroll taxes are automatically calculated and filed.
  • Direct deposits and detailed pay slips are handled effortlessly.
  • All payroll expenses are automatically synchronized and updated in your Xero general ledger.

When tax season arrives, Xero makes it easier to prepare 1099s for independent contractors and export financial reports to your preferred tax preparation software.

Xero also offers region-specific tax tools in supported markets, so businesses can manage compliance requirements based on where they operate.

Projects, time tracking and reports

Xero’s project tracking simplifies small business management by automating time and cost capture directly in your accounting system.

It replaces complex standalone project management systems by letting you log staff hours natively, record project-specific expenses, and view live profit margins inside a centralized dashboard.

To track time, employees must download and use the Xero Projects mobile app. It allows them to record task time by adding a time entry, using the built-in timer, or copying an existing entry.

Reporting is another highlight. Xero includes a drag-and-drop report builder for customizing core financial statements, such as balance sheets and income statements.

For businesses that need deeper insight, Analytics Plus adds more advanced forecasting and cash flow views, helping users understand trends and plan ahead with more context.

Team collaboration

Xero was built for collaboration. Because it operates entirely in the cloud, you, your team, and your external accountant or bookkeeper can work from multiple locations simultaneously.

Your financial advisors can log in securely to review records, run reports, and receive real-time advice without exchanging clunky desktop backup files.

Mobile

Xero ensures that you can continue with normal accounting activities through your mobile devices while at home or on the go with an app for Android and iOS.

The status of your accounts and bank reconciliations is always within reach through the Xero accounting mobile app. You can use it to reconcile transactions, send invoices, and make expense claims.

You can also monitor your business and access up-to-date reports without constantly contacting your bookkeepers or accountants.

The Xero mobile app is also an excellent asset for employees. It acts as a quick reimbursement tool that eliminates paperwork and delays.

It allows them to:

  • Snap and submit: instantly photograph receipts or track GPS mileage to create claims on the go.
  • Save time: let the app auto-fill details so you don’t need to enter them manually.
  • Get paid faster: submit claims that managers can approve immediately, speeding up cash refunds.
  • Stay organized: keep digital proof of all expenses safely in the app.

The Xero Projects app, available for Android and iOS, primarily focuses on time tracking. While useful, having two separate mobile apps for different features may be inconvenient for some users.

Bottom line

Xero is a cloud accounting platform that helps small and midsize businesses manage their finances with less manual work.

Its biggest strengths are seamless automated bank reconciliation, unlimited user collaboration, native expense capture, robust inventory management, and massive integration support. It also includes useful tools for fixed assets, cash coding, regional tax workflows, and advanced forecasting through Analytics Plus.

These features make it a strong fit for ecommerce businesses and retailers that need accurate books, shared access, expense handling, stock control, and integrations with sales and payment tools.

That said, some secondary windows feel less polished than the main interface, time tracking requires the separate Xero Projects app, and U.S. payroll requires an additional Gusto integration.

Even so, Xero’s strong automation, scalable plans, 24/7 online support, introductory discounts, and 30-day free trial make it a strong accounting software option for growing businesses.

Rubbish! No wonder quick books is treating all of us like dirt. The likes of Xero CANNOT even meet quick book standards. People wanna hear about Bookkeeping, W2s and you guys sound like everyone sells a product. Some of us are service providers! And some of us like to hear about reports, dashboards and time tracking devices that can sync with your software. I am really gutted at QuickBooks and would change this second but there is nothing better. Xero demo video is crap. I am a real potential customer and i was even more gutted seeing that you guys are not even an alternative. And then your prices! Who do you think would want your starters package? Why make the starters an option in the first place? Damm!
