Paylocity is module-based, so you can choose which features to include in your package.

It functions as a total Human Capital Management (HCM) ecosystem, allowing companies to consolidate fragmented data into a single source of truth. As a comprehensive HCM suite, Paylocity bridges the gap between administrative tasks and strategic employee development. The most important modules are:

All modules are accessible via the web app, which features a fully customizable dashboard. Regardless of what modules you’re working with, you can easily move widgets around so it’ll display only what you want whenever you enter the app.

Users can use the top and sidebar menus to access your available modules. Even though the interface is modern-looking and well-structured, people unfamiliar with this type of software will need some time to get used to it.

Access to the different features is role-based. While administrators get access to the full scope of features, managers and employees have restricted access.

Paylocity's core HR features are the platform’s nervous system, clearly designed to transform administrative management into an easy, paperless task.

This is a major reason Paylocity is often categorized as Human Capital Management software rather than a standalone payroll tool.

Since everything is centralized and connected through forms and workflows, you experience less friction when handling routine tasks.

For example, as an administrator, you can fully edit each worker’s profile information. That includes updating employment type, job title, region, division, and department.

In essence, the platform’s core HR features are the company’s central database, which every other module connects to. You can easily manage 1099 contracts, I-9 work authorizations, compliance, shift scheduling, and much more.

Ultimately, Paylocity allows you to manage HR proactively rather than reactively.

Paylocity's payroll features are as extensive and flexible as its Core HR capabilities. For example, its robust payroll processing engine handles complex tax calculations and direct deposits with minimal manual intervention.

For starters, you can run payroll on-cycle, off-cycle, and on-demand. Plus, the platform supports retroactive adjustments and payments to fix any discrepancies in previous periods.

The payroll module also features a comprehensive time and labor management system that allows employees to clock in via the web or mobile apps. It’s also possible to adjust the time entries manually, which requires managerial approval.

Efficiency is the main draw here as the payroll processing workflows are designed to minimize manual data entry while maintaining 100% tax compliance.

Paylocity offers an automated PTO management system that calculates accruals based on the company’s predefined rules, providing real-time visibility into vacation and absence days to help avoid common payroll cycle mistakes.

One major benefit for administrators is the tax filing automation, ensuring compliance across various jurisdictions without the risk of manual errors.

Another highlight is how the software allows you to manage benefits and perks administration. Paylocity supports various benefits packages, including medical, dental, vision, adoption assistance, 401(k) s, and learning courses. Compared to the competition, Paylocity clearly surpasses standard offerings.

Paylocity's expense management is also a strong feature that eliminates manual report filling. It lets employees submit reimbursements by simply snapping a photo of their receipt.

The system then processes the receipt with AI and optical character recognition (OCR) to automatically capture the data, integrating the amount into the next payment cycle.

This is a huge advantage for businesses running hybrid and remote workforces.

Reports are an essential part of a business, and with Paylocity, you get an in-depth reporting tool that lets you generate all types of reports.

In addition to including an extensive library of customizable report templates, the platform also lets you create your own.

Unfortunately, personalizing reports isn’t as intuitive as we wished. On the other hand, we loved that it’s possible to automatically email reports to managers.

An extra point of interest about Paylocity's reports is the Modern Workforce Index (MWI) dashboard. It’s an AI-powered analytics tool that measures organizational health and employee engagement by comparing them with other companies.

Paylocity's mobile apps for iOS and Android are one of its greatest assets.

It’s one of the most complete HR apps in the industry, with numerous features, including time tracking with geofencing, task and shift management, and receipt data collection – not to mention access to the community hub with the same level of responsiveness as on a computer.

Paylocity's integrations are accessible via its marketplace module.

It allows you to integrate endless solutions via pre-configured connectors, enabling you to use Paylocity even if your company has active subscriptions to other services.

It integrates software for accounting and ERP, compliance, benefits, consulting, finance, recruiting, and more. Some examples include QuickBooks, Zoho, Patient, JazzHR, and Azure.

There’s also an API available if you want more control over how to connect Paylocity to your organizational framework.

Paylocity's pricing is quote-based, so you’ll have to schedule a demo call with an agent to get a custom plan tailored to your needs.

The company offers a per-employee-per-month subscription model with pricing that varies by business size and selected modules.

Payments are all made via wire transfer.

Paylocity sports a comprehensive learning center with a blog, guides, FAQs, podcasts, and webinars.

Customers can contact the company by email or phone. Non-customers are only able to reach out via phone, which, in our opinion, is a bit limited.

Still, our experience with customer support was pretty smooth.

Even though its module-based approach makes it easy to scale from a small company to an enterprise, it can become expensive to maintain.

Administrators should be aware that there’s a steep learning curve to get used to the platform, but once you’re familiar with it, you’ll hardly change it for any other solution.
